Settlement

After completion of the ordered service, the contractor creates a service entry sheet. It documents the services as items from the standard services catalogue, including the individual prices, volumes and chains of dimension, as well as any other relevant descriptions and a total price calculation. The service entry sheet serves as an official (reviewable) claim submitted by the contractor to the ordering party. The service entry sheet is generally submitted for both a technical and commercial acceptance review. The technical review is performed on site and includes an official inspection of the quality of the executed work. The commercial review is performed upon receipt of the invoice and includes the control of the listed volumes, chains of dimension, items, applied individual prices and total calculated price. The service entry sheet is the basis for the service settlement by the ordering party.

Service Entry Sheet

The Service Entry Sheet is a list of services performed by a vendor on the basis of the items in one or more standard service catalogues, including details on actual quantities and values. Service entry sheets are assessed based on the associated outline contract and assigned to a specific individual order.

BBH

A procedural and interface definition for exchanging data between ordering party and contractor and the related calculation steps for determination of the individual prices. This description was originally created by BASF, Bayer and Hoechst.

Individual Order

The individual order is placed in the context of the outline contract, and serves as the concrete purchase order for the service partner. It describes the desired work clearly and completely.

Free-form Entry

Goods and services not contained in the SSC are entered as so-called free-form entry items. These positions are to be justified and documented there in text.

Bill of Services (BoS)

A GAEB-BoS involves an exhaustive description of the scope of the order, including the volumes, prior to provision of the services. The goods and services for a project are defined and individually put out for tendering to different service partners.

Chain of Dimensions

Collation of all individual calculation steps and supplemental information required to determine the unit value of a service entry sheet item.

MFX

A procedure developed by awato to determine individual prices. The calculation steps required for this are defined using a simple and highly flexible macro language.

Outline Contract

The outline contract contains the contractual negotiated conditions between the ordering party and the contractor for a specific validity period or a specific project. This includes hourly charge rates and pricing factors by which the unit prices from the standard services catalogue are evaluated.

Standard Services Catalogue (SSC)

A standard services catalogue describes the standardised goods and services for a service type or maintenance group using the unit prices specified by the ordering party at a volume of 1. These unit prices are always provided in relation to one another within the SSC.

Placement of Order

The German Law on Labour Leasing (AÜG) states that the contractor is obligated to issue contracts for services in written form. This contains a description of the goods and services, the start and end dates and the site of installation. The description does not typically include extensive instructions on the work to be implemented — in the eyes of the law and commercial practice this is the purview of the contractor — but instead specifies the desired result. Differentiation in this regard is made between projects (new creations) and maintenance services. Projects are frequently handled using so-called “AVA” programs based on the GAEB standard (see relevant glossary terms); this ensures that the goods and services are clearly defined and thus can be individually submitted for tenders to different service partners. The scope and time available for implementation thus justify the time and expense associated with it. Maintenance services, by contrast, are high-volume products. Repairs must be undertaken in a timely manner, and have a strongly repetitive character. Standardised services are described by the ordering party, broken down by maintenance groups and in the form of catalogues that form the basis for an outline contract and which can be used for settlement. The outline contract is concluded with a contractual partner for a specific validity period and contains the conditions that are used to evaluate the line items (with assigned prices) in the standard services catalogue, including mark-ups and mark-downs as well as hourly charges. Based on this outline contract, the individual outline order release can be issued.
